How to Set up a New School

- School is in operation.
- Ask in your community the parents with children in the age range from 4 to 17 if they are willing to participate. Funding under the Community Languages Schools Program is for students from K—12. Write the students in Student's interested in enroling at form. Once classes are set up, each student fills out an Enrolment Form

- Each School has to fill out a Teacher Profile Form for each teacher to submit to AICLS for check of experience and former teacher training. There is a teacher training course being held once a year in about July.
- All Teachers have to fill out a Working with Children Check form and submit it to AICLS.
- You can choose your own premises. Some schools teach in their Community Halls, Clubs or Church facilities. If your language community can not cater for your teaching needs, you can use Government Schools. Community Language Schools have free use of Government School facilities. (Read: Community Language Schools Free Use of Government School Facilities) Decide on which is the most convenient suburb for the students to come to language school. (Look at student details where they live.) Then find the Government School you would like to hold classes at. It can be a Primary School or a High School. Tell the AICLS officer. Make an appointment with the School Principal to have a meeting together with the Community Language School Principal and the AICLS officer. Please note: Schools which are teaching the same language are not be opened within a radius of 2 km.
- Teaching resources are one of the most important parts of your school.
You can get resources by;
- asking in your community what people have already
- going to the Community School's library
- going to your local library
- contacting already established Community Schools in your language
- searching the internet
- contacting people you know in your country to send out materials
- purchasing material from your country
- producing your own material
- You have to form a committee. Please read the attached information about Committees. If you are not familiar with the procedures of a forming committee, the AICLS officer will help you. Your first meeting will be the Annual General Meeting (AGM), when the committee members are being voted. You will also have to decide on at least two members who will be signatories on your cheque account. The minutes of this meeting are needed for opening a bank account.
- Schools become a member with AICLS (membership fee is $25 per year) and are then automatically incorporated with the AICLS and can use AICLS ABN number.
- Open up a bank account for a non-profitable organization. To open a bank account you will need the minutes of your Annual General Committee meeting. The Committee members who can sign the cheques have to go and meet at the bank together with identification papers. Please ask your bank what is needed.
- You have to keep a record of all incoming and outgoing cheques and money.
- You have to become a member with AICLS, which will cost $25 per year. This membership enables you to receive a discounted public liability insurance of $200 per year, which will be organized for you by AICLS. AICLS is currently making a grant available for the public liability insurance to be paid for you.
- A syllabus is a framework of what and how a student is to learn the
language. If there is no Board of Studies syllabus available for your
language, ask the AICLS Program Support Officer for help in developing
your own. This is done by looking already existing Syllabus and modifying
it to your needs. Please look at the following website:

- Once the school is ready for operation, enroll students officially by filling out a Student Enrolment form for each student.
- Make sure AICLS School Information Form is up to date. All committee member and teacher details are always updated. So please inform AICLS if there is a change of teachers, addresses, telephone numbers and email addresses.
- Apply for Establishment Grant after 3 months of operation of school. Fill out the Establishment Grant Form
- Fill out form of Location Details
- If registered with AICLS the Bank Detailsform is to stay with AICLS and does not have to go to NSW CLS, as all grant payments will go through AICLS.
- All students have to fill out the Permission to Publish Student's work and Photographs form. This is for Photos of the students and their work being sometimes published in various Community Language School newsletters or on the AICLS website.
